Agree on what the report covers
Write down the filing authority, the campaign or committee, the report type and the reporting period. Confirm the due date on the authority’s current calendar. A deadline taken from a different committee type or election may be wrong.
Florida publishes separate reporting resources and calendars for different filer categories. Federal filers should start with the FEC guidance for their committee type. Florida filing instructions and reporting calendars · FEC guides by committee type
Explain differences before exporting
| Review step | Question to resolve |
|---|---|
| Compare the source records | Can each reported transaction be traced to its supporting record? |
| Review bank activity | Are combined deposits, timing differences and fees explained? |
| Check repeat entries | Is an apparent duplicate a repeated import or a separate transaction? |
| Review corrections | Do changes have a documented reason and the right approval? |
| Confirm the output | Does the export match the authority’s current file specification? |
Matching totals alone do not establish that a report is complete. A missing transaction and an extra transaction can offset each other. Review the underlying entries as well as the totals.
Keep one reviewed version
Give the reviewed export a clear version name and record which source period it covers. Keep a list of any exceptions and who resolved them. If the underlying records change after review, decide whether another review is needed before submission.
Use the official submission process
Florida’s instructions say candidates who file with the Division of Elections use its Electronic Filing System. Follow the current official instructions for certification and submission. This site does not transmit reports or validate legal compliance. Florida candidate reporting instructions
Keep the submitted version and the official confirmation together. If a correction is needed afterward, consult the authority’s amendment instructions rather than replacing your local copy and assuming the filing changed.
